Background of Textbook Purchases
Prior to the year 2020, the Prince George’s County Public Schools (PGCPS) Textbook Office procured printed textbooks on a one textbook to one student acquisition model. The changing virtual/technology environment triggered by COVID caused PGCPS to move toward being a digital district. However, textbook access remains a priority in the district.
Below you will find information related to how PGCPS distributes materials, makes requests and collects for damages.
Textbook Distribution Quantities
For Schools
- Digital: One digital textbook license per student.
- Consumable print textbooks: One workbook (consumable) per student.
- Hardback print textbooks: Classroom sets, usually 35 textbooks per teacher for middle and high schools, which may be assigned to students who have a need for a print textbook.
Textbook Requests
School Request
Textbook Coordinators or other designated school staff submit requests for additional textbooks using the Instructional Materials Management (IMM) textbook inventory system.
Parent Request
If a parent emails/calls requesting a print textbook, the person receiving the inquiry will complete the following steps with the assistance of the Textbook Coordinator:
- Confirm that the print resource is needed in addition to the student’s access/license to the online text.
- Assign a print textbook in the textbook inventory system using the accession number on the label, and have the student sign for the print textbook that must be returned by the end of the school year.
- If no print copies are in school storage, the school's Textbook Coordinator is to requisition the materials in IMM. If no print copies are in the warehouse and the budget is available, the Textbooks Office will purchase a copy from the vendor.
- The issuing teacher must monitor the return of the textbook at the end of the semester or school year and request that the Textbook Coordinator or other designee generate and send a notification to the parent if an obligation is owed.
Damaged or Lost Textbooks
Each school is responsible for implementing a system to collect and secure funds collected from students/parents for lost and damaged materials.
- The school's textbook coordinator will create and submit a paid adjustment in IMM.
- Funds collected for damaged or lost textbooks should be kept separate from other school accounts.
- Before June 30th of each school year, the reimbursement form, along with the checks from schools, is due to the Accounting Operations Office located at the Sasscer Administration Building.
