Position Summary:

Under the direction of the Director of Building Services, the Computerized Maintenance Management Systems Coordinator The incumbent oversees and monitors the use of the Computerized Maintenance Management System (CMMS) and related software (i.e., facilities use, inventory, preventative maintenance, facilities automation, etc).   The incumbent of this position will oversee the related training programs for all user groups of the software, as well as oversee the troubleshooting of computers and mobile devices related to the use of the work order software. The CMMS Coordinator will provide the Director with suggestions and analysis for the improvement of the overall use of the software.

Duties and Responsibilities:

  • Oversees, plans, schedules, assigns and supervises work performed by the CMMS team;
  • Administers contracts, advises administration, reviews and plans specifications, and takes part in software demonstrations for the work order system and all related platforms;
  • Develops, updates and implements standard operating procedures and administrative procedures for the department;
  • Generates reports and analyzes data pertaining to the use of the software; presents findings and recommendations to leadership;
  • Monitors and oversees the entry of materials, labor hours, status and details of the work completed in the work order system;
  • Investigates trends, errors, inconsistencies and independently resolves matters;
  • Prioritizes and designates assignments of work to appropriate personnel;
  • Oversees and monitors updates to the Building Services website to include updated handbooks, user guides and general information;
  • Initiates work orders, including budget codes, cost estimates of labor and material, and determines scheduled dates for repair, renovations, and relocations, as needed;
  • Provides direct oversight, management, leadership, supervision and support to assigned team members; manages the day-to-day workflow to deliver strategic and effective services to the division and organization; and
  • Performs other duties as assigned.

Qualifications:

  • Extensive knowledge of technology utilized to enter materials, labor hours, status and details of the work completed into the online work order management system;
  • Ability to create reports, analyze data and prepare related presentations;
  • Ability to make accurate materials, time, personnel and equipment estimates for specific projects as well as to gain full utilization of such production factors;
  • Ability to supervise subordinates in a manner conducive to instill performance and high morale;
  • Ability to maintain a variety of records relative to work performed as well as to summarize or extract activity reports from such records;
  • Ability to plan, implement and evaluate;
  • Must be skilled at managing personnel and administrative activities, and developing effective work standards and schedules;
  • Possess the ability to initiate correspondence and to prepare professional reports; and
  • Skilled in human relations, communication, and effective decision-making abilities.

Education and/or Experience Requirements:

Graduation from high school required; Bachelor’s degree from a regionally accredited college or university in construction management, information technology, business administration or a related field preferred.  A minimum of five (5) years of experience working within a maintenance department required; school system experience preferred.  A minimum of three (3) years of experience with work order system implementation and oversight required. 

Certification:

Possession of an appropriate and valid Maryland Motor Vehicle Operator's License with a driving record indicating five (5) or fewer current points, of which no more than three (3) shall have been accumulated as a result of traffic violations occurring while operating a Board of Education vehicle.

CMMS certification from Asset Essentials Brightly, SchoolDude or equivalent work order system certification preferred.

Supervisory Responsibilities:

Provides guidance and supervision to assigned personnel.

Specific vision abilities required by this job include close vision such as to read handwritten or typed material, the ability to adjust focus, and depth perception. While performing the duties of this job, the employee may occasionally push or lift up to 25 lbs.
