Position Summary:

Under the direction of the Print and Mail Production Specialist, the Data Technician – Print & Mail Processing is responsible for performing complex technical work necessary to carryout the tasks associated with printing and mail services programs.  The incumbent of this position will review and prepare data files, create mail merges and prepare finalized documents for distribution. The work is performed in accordance with established practices, procedures and work methods. Constant attention to detail and review of the work in progress is required to ensure accuracy and efficiency. Work is performed under general supervision of the Print and Mail Production Specialist and the Supervisor of Print and Mail Production. Work is reviewed through conferences and observation of results achieved.

Duties and Responsibilities:

  • Receives, examines and processes mail merge requests ensuring completeness and accuracy;
  • Reviews data files and identifies and corrects errors in data entry to maintain data integrity;
  • Enters details from mail requests into a database, including all relevant information;
  • Generates reports on mail volume, delivery times and other relevant metrics;
  • Checks addresses for accuracy and updates any discrepancies;
  • Maintains tracking log for mail; logging items, tracking and updating statuses as needed;
  • Scans documents for electronic storage and retrieval;
  • Makes recommendations for changes to policies and/or standard operating procedures related to mail services;
  • Receives incoming mail, sorts it based on the recipient/department and distributes accordingly;
  • Facilitates processes in order to meet deadline dates;
  • Prints and mails checks for employee and/or vendor payments on secure PGCPS check stock paper;
  • Handles special projects as assigned;
  • Supports and assists other areas with mail requests as necessary; and
  • Performs other duties as assigned.

Qualifications:

  • Knowledge of mail classifications and postage requirements;
  • Knowledge of postal regulations, including the National Change of Address (NCOA) and the Coding Accuracy Support System (CASS);
  • Familiar with United States Postal Service (USPS) software, specifically Open Mail Handling Systems (OMS);
  • Must have a high attention to detail, the ability to multitask, organize, and prioritize within a fast-paced rigorous environment;
  • Must be results oriented with a strong sense of urgency;
  • Must be a self-starter, able to work well independently, with little supervision;
  • Must work well with teams and be service-oriented;
  • Must be proficient in Microsoft Office (i.e., Word and Excel) and Google Suites, with particular strength in completing mail merges; and
  • Demonstrated experience in analyzing and synthesizing information, working quickly and accurately.

Education and/or Experience Requirements:

Completion of a standard high school diploma or equivalency required.  A minimum of five (5) years of experience with completing mail merges, postal service work, or a closely related field, which provides the required knowledge, skills, and abilities, required.

Certification:

No direct supervisory responsibilities.

The physical demands are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is required to spend prolonged periods of time standing during the operation of binding equipment while performing bindery operations. Employees in this class continually lift, carry, or otherwise handle printed material and paper stock weighing up to 40 lbs. and, occasionally, items or materials weighing up to 80 lbs. without the help of any mechanical devices, and up to 2,000 lbs. when utilizing mechanical devices such as fork-lifts or pallet-jacks. There is frequent stooping, bending, and reaching to make machine adjustments, remove misrouted materials and other operational activities. In most instances the employee is required to maintain a work pace consistent with the speed of operating machinery and/or the needs of the other workers.
