Position Summary:

Under the direction of the Instructional Supervisor, the Planning Data Analyst – Career Counseling will perform diverse and complex technical and administrative duties to support the accountability and data collection work related to the career counseling program.  The incumbent of this position will work with other PGCPS program staff and internal/external program partners to ensure program compliance and will manage and oversee regularly reporting of the program status to executive sponsors and district leadership.

Duties and Responsibilities:

  • Works with career counseling partner organizations to determine data reporting needs and requirements;
  • Collaborates with other PGCPS internal offices to ensure data is shared and monitored in alignment with the career counseling Memorandum of Understanding (MOU);
  • Oversees file preparation and regular reporting of data points towards milestones in the career counseling MOU;
  • Downloads, organizes and analyzes student data from the Student Information System (SIS);
  • Creates and maintains data collection and reports needed for the career counseling program;
  • Creates and maintains databases of student participants/enrollment, parental permission forms and related documents;
  • Coordinates data permissions and access of data for career coaches; provides student data to partners based on parental permission and the Family Educational Rights and Privacy Act (FERPA) guidelines;
  • Maintains communication with program partners and ensures compliance with district, state and federal policies, procedures and laws;
  • Interprets and presents data to a variety of audiences in written and presentation formats;
  • Assists in the development, review and monitoring of all required local and state reporting requirements to ensure the school system's compliance;
  • Aligns financial expenditures and programmatic reports to career counseling benchmarks and objectives;
  • Participates and attends meetings and professional development opportunities related to the Blueprint career counseling program; and
  • Performs other duties as assigned.

Qualifications:

  • Skilled in data presentation, analysis and evaluation;
  • Familiarity with or knowledge of the Family Educational Rights and Privacy Act (FERPA) guidelines;
  • Ability to give high attention to details, multi-task, organize and prioritize within a fast-paced environment;
  • Possess good knowledge of policies, regulations, procedures, and functions of the activity to which assigned or ability to rapidly acquire such knowledge;
  • Ability to exercise good judgment in applying wide range of operating procedures and policies;
  • Ability to work under pressure and make decisions in accordance with laws, ordinances, regulations and established procedures;
  • Proficient in Google and Microsoft Office suites to include Word, Excel and Google Docs/Sheets;
  • Outstanding written, oral and interpersonal communication skills; and
  • Ability to work effectively with students, parents, administrators, colleagues, community, and other school system staff.

Education and/or Experience Requirements:

Bachelor’s degree from an accredited college or university in educational research, public administration, business administration, communication or a related field required.  Previous experience working with data collection/analysis, database management, grant management and/or program reporting/monitoring required.  Previous experience as a data/budget analyst and/or training in FERPA guidelines preferred.
