Position Summary:
Under the direction of the Director, the Management Analyst manages data and administrative requirements. The incumbent of this position assists the Director in developing and administering procedures and methods for the proper maintenance and operation of school system property and effecting economics through efficient utilization of materials and personnel. The work is analytical in nature with the goal of improving efficiencies and productivity throughout the department. The work is reviewed by the Director for results obtained in meeting the objectives and goals of the department.
Duties and Responsibilities:
- Analyzes and tracks the performance metrics of the department (i.e.; prepares reports, charts and tracks data using departmental records);
- Creates data management systems and programs as required;
- Creates, manages, maintains and updates information systems and reports for the department;
- Provides daily updates of work performed through monitoring and extraction of reports from automated, online work order system and Project Management Tracking software system;
- Develops and maintains allocation and inventory documents;
- Assists in processing, reviewing and tracking contract bid documents;
- Assesses contractor performance and project schedules;
- Requests bid document preparation with the Purchasing Department and bid document awards;
- Assists in training personnel on new hardware and/or administrative and information systems;
- Develops administrative procedures for the department;
- Develops and maintains required department reports such as Comprehensive Maintenance Plan, Facility Condition and Needs Reports, and assists in CIP submissions;
- Edits and formulates correspondence and communications tools within the department, with other departments in the school system, with all other relevant organizations, and individuals as determined by the Director;
- Researches information necessary to the solution of technical issues; and
- Performs other duties as assigned.
Qualifications:
- Considerable knowledge of principles and practices of building requirements;
- Knowledge of personal computer software systems including word processing and data processing;
- Knowledge of automated work order systems and project management systems;
- Considerable analytical skills to facilitate research, provide feasibility studies, provide statistical information, and perform simple operations research work;
- Ability to plan, implement and evaluate;
- Ability to initiate correspondence and prepare reports both orally and in writing; and
- Skill in effective human relations and communications.
Education and/or Experience Requirements:
Bachelor’s degree from an accredited college or university in engineering, operations administration, data management or other related fields required. A minimum of five (5) years of administrative management experience required, and considerable analytical, productivity improvement experience in a support environment such as manufacturing, distribution, school system operations, commercial construction; or any equivalent combination of experience and training which provides the knowledge, skills and abilities.
