Position Summary:
Under the direction of the Chief Academic Officer, the Program Manager will be responsible for the overall coordination, support and monitoring of operations in the Division of Academics related to fiscal management, grant management, program management and strategic plan projects impacting the work across the Division of Academics. The incumbent of this position will champion the compliance and fidelity of work that reflects collaboration across internal departments and external divisions within the system. The Program Manager will also provide a high level of project awareness and tracking to inform the Chief of trends and issues in overall performance and progression as well as support seamless communications internally and effective communications with external stakeholders.
Duties and Responsibilities:
- Collaborates with the staff in the Division of Academics to identify all budgets, grants, Memorandums of Understanding (MOUs) and strategic plan goals to ensure coherence to the work of the division and to map out an adherence schedule for the Chief Academic Officer (CAO);
- Provides support to academic teams and cross collaboration with the grant management team to facilitate adherence to timelines and schedules related to spend downs and mid-year and end of year reporting;
- Tracks and monitors project timelines within the Division of Academics;
- Reviews and monitors budgets each month and works with each team in conjunction with the budget office partners to make sure all budget processes are followed within the guidelines established;
- Reviews on a monthly basis the strategic plan goals and focus areas for the Division of Academics and works with each direct report of the CAO to review action steps and data monitoring towards achieving the goals;
- Acts as a liaison between the CAO and other departments in the system both inside and outside of the Division of Academics;
- Provides feedback to the CAO on ways to adjust practices and processes within the Division of Academics to ensure program management is streamlined and efficient;
- Represents the Chief Academic Officer at various meetings as needed; and
- Performs other duties as assigned.
Qualifications:
- Knowledge of the budget process, the strategic plan, the grant submission and grant writing process, the procurement process and fiscal management;
- Ability to analyze data and prepare reports;
- Ability to build relationships and collaborate with senior leadership, peers, internal and external stakeholders and staff at all levels;
- Strong written and oral communication skills and ability to intuitively present and document ideas and concepts to staff, management and stakeholders at all levels;
- Ability to plan, implement and evaluate;
- Effective critical thinking, problem-solving and decision-making abilities;
- Knowledge of, and comfort with Microsoft Office Suite software including Access, Excel, Word, and PowerPoint;
- Well-organized, detail oriented and attention to accuracy is critical; and
- Prepared to work in a fast-paced environment with multiple tasks ongoing at the same time.
Education and/or Experience Requirements:
Bachelor’s degree from an accredited college or university in business, finance or a related field required; Master’s degree preferred. A minimum of five (5) years of previous experience working in budget management systems, reviewing grant documents and/or managing timelines and action steps across teams with some exposure to grant management required.
